Quick path

Open the Inbox tab on a candidate profile and read the conversation.

  1. Open a candidate profile

    Where: SidebarTalent Map

  2. Open the Inbox tab

    Where: Candidate profileInbox

  3. Read the conversation

    Where: Candidate profileInboxRefresh messages

The Inbox tab on a candidate profile shows every conversation with that candidate in one timeline: emails, LinkedIn InMails, and activity entries. From the same tab you can reply by email.

Before you start

  • Unified Inbox is available on request or on supported plans. Ask your Scout admin or Scout Support if your organization should have it. Your organization may also limit how much of other people’s message content you can see.
  • To send a message you need an email account connected to Scout: Outlook or IMAP for engagement.
  • The tab is in the side area of the profile next to Notes, Reminders, Projects, Jobs and Sequence.

Steps

VIEW a candidate’s messages

  1. Open the candidate profile (see Candidate Profile).
  2. Click the Inbox tab.
  3. Read the timeline. Messages you and your colleagues sent appear on the right, the candidate’s replies on the left, and activity entries as centered pills. Each message shows its channel icon, its time, and “(scheduled)” when it has not been sent yet.
  4. Click Show more on a long message to expand it. Scroll up to load older messages.
  5. Click the Refresh messages icon at the top of the tab to pull in new messages. The tab also refreshes by itself when a new message arrives.

An empty tab shows “No messages yet.”

REPLY by email

  1. In the Inbox tab, find the New Message form at the bottom.
  2. In To, pick the recipient address. The candidate’s known email addresses are offered.
  3. Type a Subject (“Add a subject”) and your message (“Write your message…”).
  4. Click Send.
  5. To reply to a specific message, click the Message actions button on that message and choose Reply to. A banner shows the message you are replying to. Click the cancel icon (Cancel reply) to remove it.

If you have no email account connected, the form is replaced by “You need to integrate an email account with Scout to send messages.” with a Go to integrations settings link.

CONTROL who can see your messages

There are two levels.

For all your messages:

  1. Go to Settings > General and find the Inbox Visibility card (“Control who can see messages in your unified inbox.”).
  2. Open the Inbox visibility setting dropdown and choose Messages visible to everyone (all users in the organization can view your content) or Message visible only to sender (other users cannot view your content).
  3. The change saves as soon as you pick an option and shows “Inbox visibility updated.”

For one message:

  1. In the Inbox tab, click Message actions on a message you sent.
  2. Choose Hide Message from Others to keep it from your colleagues, or Show Message to Others to make it visible again.

Messages from colleagues that you are not allowed to see are shown with their content hidden.

WORK from the Chrome extension

In the extension’s candidate view the Inbox tab is read only. There is no New Message form, the newest messages are at the top, and you click Load more to see older ones. See Chrome Extension.

What you should see

  • The conversation timeline in the Inbox tab, with the newest messages at the bottom.
  • After Send, your message appears on the right of the timeline.
  • After you change Inbox Visibility, the confirmation message “Inbox visibility updated.”
