The Dashboard gives you one page to see how your recruiting is going: what you have billed, how many placements you have made, where candidates sit in the pipeline, which interviews are coming up, and what needs your attention today.
Note The Dashboard is the landing page of the candidate sourcing workspace. Business development has its own dashboard in the BD workspace (see Business Development); this page covers the sourcing one.
Before you start
- You need to be signed in and in the candidate sourcing workspace (use Switch to Candidate Sourcing in the sidebar if you are in another mode).
- The numbers come from placements, jobs, projects and interviews in Scout. If you are new, the panels show empty states until you have activity.
- Admin-only controls (the Scope toggle, View as… and the team breakdown) only appear for organization admins. See Who sees what.
Steps
OPEN the Dashboard
- Click Dashboard in the sidebar (Sidebar > Dashboard). The page is at
/dashboard. - At the top you see a greeting such as “Good morning, Alex” and a one-line summary: how many items need your attention (or “You’re all caught up.”) and, when you have one booked, your next interview.
CHOOSE a date range
- Open the date range picker at the top right.
- Pick This month, Last month, This quarter or Year to date, or enter a custom start and end date.
- The default is This quarter.
The range drives the KPIs, the revenue card and the pipeline “as of” date.
READ the KPI strip
The first row has five tiles:
| Tile | What it shows |
|---|---|
| Billed | Billed revenue in the chosen range. A smaller line shows contract invoices that are scheduled for the future, which are counted separately and in the month they fall due. |
| Placements | Number of placements. Click the tile (Open placements) to open the Manage Placements drawer. |
| Win rate | Percentage of tracked candidates who were placed, with “X placed of Y tracked” underneath. |
| Jobs | Total jobs split into Active Jobs and Inactive Jobs. Click either count to see the list of jobs. |
| Needs attention | Count of priority action items, plus how many interviews are active. Click it to jump to the priority list. It shows All clear when there is nothing to do. |
Where a previous period is available, tiles also show the change vs previous period and a small trend line.
CHECK revenue and forecast
The Revenue card sits under the KPI strip, beside the pipeline.
- Billed (period) shows billed revenue for the chosen range, with any scheduled invoices and a per-currency list underneath.
- Quarterly forecast (billed) shows the forecast for the quarter.
- Versus previous period and Best (best month or period) summarise the trend.
- The chart below shows revenue over time. If more than one currency is involved, Scout lists the per-currency totals and notes that the chart mixes currencies.
If there is nothing to show you will see “No revenue in this period”.
MANAGE placements
Click Manage Placements on the Revenue card (or click the Placements tile) to open the drawer.
- The header shows the date range and whether you are looking at You or Org, plus Billed and Scheduled totals.
- Each placement is a card with the project, candidate, joining date, placement fee, salary and contract. Contract invoice installments show an Invoice label and a status.
- Click Download CSV to export every placement in the same range and scope (
placements.csv). - For a placement that is not a contract installment, not already voided and whose invoice is not paid, use the three-dot Placement actions menu and choose Void placement. Confirm Void this placement? to cancel its invoice (or mark it void if it was never invoiced). Voided placements are removed from revenue and placement counts and this cannot be undone from the drawer.
Contract schedules are managed in Operations, not in this drawer.
REVIEW the candidate pipeline
The Candidate Pipeline card shows the recruitment funnel from applicant to placed.
- Current shows each stage with its count and the conversion from the previous stage (hover a bar to see it). If you picked a past range, the subtitle says the funnel is “on” the range end date.
- Last 14 days shows each stage over the last 14 days.
- Click a stage to see the candidates in it.
- Tracked Candidates and Placed totals are shown with the funnel.
- View Jobs opens Jobs. If Scout Jobs is not enabled for your organisation the button is greyed out and its tooltip says “Scout Jobs is not enabled for your organisation. Select to request access.”
ACT on Priority Action Items
Priority Action Items lists outstanding tasks. Each row has a type chip when the list is mixed, a priority (High priority, Medium priority, Low priority), a due phrase, and a quick link such as View profile, View contact or View project. The types are:
- Reminder - a reminder you set on a candidate or contact is due.
- Awaiting confirmation - an interviewer has not confirmed in time.
- Stale submission and Stale reply - a submitted or replied candidate has had no movement for a while.
- No feedback - an interview finished a few days ago without feedback.
- Aging role - a job has been open for a long time.
- Hot inbound - a new inbound candidate arrived recently.
Items appear and clear automatically as your pipeline changes.
- Click a row to expand it.
- Open the row menu (Row actions) and choose Dismiss to hide an item you have handled. For reminders the menu also shows Reminder context.
- Items that cannot be dismissed (no source) only offer the quick link.
When the list is empty you will see “You’re all caught up”.
SEE Active Interviews
Active Interviews lists scheduled and pending interview sessions, grouped by day, with the candidate, role, time and an Open interview link button (or “No link”). Unconfirmed interviews are labelled Unconfirmed. Click View Calendar to open the interview calendar. With none booked you see “No interviews scheduled” and an Open calendar button. See Scheduled Interviews.
TRACK companies
Tracked Companies shows daily job listings from companies on your watchlist, with Dismiss per posting and a Track New button that opens the BD Company Watchlist in a new tab. See Business Development.
SWITCH scope (admins only)
| Admins see Scope: with a **Mine | Org** toggle. |
- Mine shows your own data. Org shows the whole organisation.
- In Org scope a By team member card appears under the KPI strip. Switch between Table and Funnel matrix. The table has sortable columns (Active, Inactive, Interviews, Actions, Notes, Revenue). Click a row to expand that member’s detail.
- Members with no activity in the period are collapsed at the end of the table.
VIEW as a team member (admins only)
- Click View as… next to the toggle and search for a colleague.
- The Dashboard shows that person’s data (scope is forced to their own data) and a banner reads “Viewing [name]’s data” with an Exit button.
- Choose Stop viewing as a team member in the list, click Exit or press Mine or Org to return.
Only admins can view another team member’s data.
Who sees what
| Element | Who sees it |
|---|---|
| KPIs, Revenue card, Candidate Pipeline, Priority Action Items, Active Interviews, Tracked Companies | Every signed-in user in the sourcing workspace, for their own data. Users see revenue from placements in their own scope. |
| Scope: Mine / Org toggle and View as… | Organization admins only |
| By team member breakdown | Organization admins only, when scope is Org and no one is being viewed. Other users are told “Team breakdown is available to organisation admins only.” |
| View Jobs button (pipeline) | Enabled when Scout Jobs is available for your organisation, otherwise greyed out |
Note The Dashboard shows only data your account can access. Revenue questions asked to Ask AI or on WhatsApp are limited to finance roles, which is a separate rule (see Ask AI).
What you should see
- A greeting, the attention summary and your date range at the top.
- A five-tile KPI strip, then Revenue beside Candidate Pipeline, then Priority Action Items beside Active Interviews, then Tracked Companies.
- Numbers update automatically when your data changes.
- If a panel cannot load it shows a message such as “Couldn’t load revenue.” with a retry.
Common problems
| Symptom | Cause | Fix |
|---|---|---|
| No Scope toggle or View as… | You are not an admin | Ask an organisation admin to view team data or to grant the role |
| Team breakdown says it is for admins only | Your account lacks the org admin role | Use Mine, or ask an admin |
| Revenue shows “-“ or “No revenue in this period” | No billed placements in the range | Widen the date range or record placements |
| Billed looks lower than expected | Future contract invoices are counted as scheduled until they fall due | Check the scheduled line and Manage Placements |
| Void placement is missing | The placement is already voided or its invoice is paid, or it is a contract installment | Manage contract schedules in Operations |
| View Jobs is greyed out | Scout Jobs is not enabled for your organisation | Select it to request access |
| Priority item keeps coming back | It was not dismissed | Use Row actions > Dismiss |
