Settings

Quick path

Open Settings from the account menu and move between its tabs to change your preferences, connect tools and manage your organization.

  1. Open the account menu

    Where: Sidebaryour name and email

  2. Open Settings

    Where: Sidebaryour name and emailSettings

  3. Choose a tab

Settings is where you manage your personal preferences, connect Scout to your other tools, and (for organization admins) manage your organization and team.

Before you start

  • Every user can see the General and Integrations tabs.
  • The Organization and Team tabs only appear for organization admins.
  • The WhatsApp Group Watch tab only appears for organization admins whose organization has WhatsApp Group Watch. Available on request. Ask your Scout admin or Scout Support.
  • Some cards inside Integrations are limited by role or plan. These are noted below.

Steps

OPEN Settings

  1. Click your name and email at the bottom of the sidebar. The account menu opens.
  2. Click Settings. Scout opens Settings > Integrations.
  3. Use the Settings navigation on the left (a row of tabs at the top on mobile) to switch tabs.

The same account menu also has Dark mode / Light mode, Report an issue and Log out.

CHANGE General preferences

Open Settings > General. The page is titled “Manage your account preferences.” and has three cards:

  • Inbox Visibility - choose who can see messages in your unified inbox. The dropdown has two options: Messages visible to everyone (all users in the organization can view your content) and Message visible only to sender (other users cannot view your content). The change saves as soon as you pick an option.
  • Integration Notifications - turn alerts on or off with a switch for each category: ATS Integrations, Engagement email integration, Career Mailbox integration and Scout Chrome extension.
  • Notifications - manage desktop (browser) alerts: where Scout reaches you and which updates you receive. If your browser blocks notifications or does not support them, this card tells you.

CONNECT tools in Integrations

Open Settings > Integrations (“Connect your tools to Scout to automate your workflow.”). The page is split into sections:

Section Cards Learn more
Finance (Organization admins, where Operations is available) QuickBooks Limited availability, see Operations
Talk to Scout AI Agent Chat with Scout on WhatsApp Ask AI
Communicate with your Contacts and Candidates Outlook, Other email (IMAP), WhatsApp Web. Each person connects their own. Outlook, IMAP, WhatsApp Sequences
Collect CVs from your inbox Outlook, Other email (IMAP) Outlook, IMAP
Data Enrichment Scout Enrich, Apollo, ContactOut Profile Enrichment
Assessments Scout Select Scout Select
ATS JobAdder, Vincere, Zoho Recruit, plus a list of other supported ATS platforms you can request JobAdder, Vincere, Zoho Recruit. Invenias is set up with an API key and has no card here, see Invenias

Click Connect on a card and follow the dialog. Connected cards show a status such as Connected or Linked and an unlink icon to disconnect. See Integrations for the full list.

If an Outlook connection fails because your company requires admin approval, Scout shows an Admin approval required dialog with a link you can copy (Copy link) and send to your IT admin.

MANAGE your Organization (Organization admins)

Open Settings > Organization. Fill in or change any of these cards, then click Save organization settings:

  • Organization profile - the Description used across your organization’s Scout experience.
  • Billing notifications - Billing email and Billing CC emails. Scout sends a placement notification to the billing email and copies the CC recipients.
  • Revenue currency - the Default currency that placement revenue on the dashboard is converted into.
  • Business development contacts - Show Business Development Contacts to either All in Organization or Owner Only. Organization admins can always see all contacts.

Two cards save on their own with their own button:

  • Branding - upload a PNG logo with Upload logo.
  • Candidate Report format - click Download sample format, then upload a single-page PDF with Upload format. It becomes the first page of each generated Candidate Report and replaces the current format.

MANAGE your Team (Organization admins)

Open Settings > Team. You see summary counts (Total members, Onboarded, Email integrated, Extension installed) and a table of members with Member, Last active, Onboarding, Email, Extension and Roles columns.

  1. Use Search by name or email… to find a member, and the time period dropdown to change the activity window.
  2. In the Roles column, click Manage roles for the member.
  3. Tick or untick roles in the Member roles list: Recruiter, Organization admin, Finance-Operations or Recruiter (Lite).

Scout confirms each change. You cannot remove your own Organization admin role, and a member must keep at least one of Recruiter, Finance-Operations or Recruiter (Lite).

OPEN WhatsApp Group Watch (Organization admins)

When it is enabled for your organization, Settings > WhatsApp Group Watch lets you monitor WhatsApp groups for recruiting activity and have Scout suggest shortlists and notes from what is shared. It is an experimental pilot that needs a dedicated WhatsApp number and the Scout WhatsApp Group Watch browser extension, and it is read-only. See WhatsApp Sequences for WhatsApp features in Scout.

What you should see

  • Settings opens with a left-hand navigation listing the tabs available to your role.
  • Changes on General (inbox visibility, notification switches) save immediately and show a confirmation message.
  • Organization settings show “Organization settings saved.” after you click Save organization settings.
  • Team role changes show a message such as “Name is now a Recruiter.”

Common problems

  • I cannot see the Organization or Team tabs. These tabs are only shown to users with the Organization admin role. Ask an existing admin to grant it in Settings > Team.
  • The Scout Select card says Locked. Scout Select is not enabled for your organization yet. Contact Scout Support. See Scout Select.
  • I cannot connect Apollo or ContactOut. Only one enrichment provider can be connected at a time. Disconnect the other one first. See Profile Enrichment.
  • I cannot untick my own Organization admin role. This is intentional. Another admin must change it.
