Zoho Recruit Integration Guide

Introduction

Integrating Zoho Recruit with Scout allows you to seamlessly manage your recruitment processes, leveraging the powerful features of both platforms.

Please note: this guide assumes that you already have an approved account with Scout. If you don’t, please head here first to request access: Request Access - Scout.

Steps for Integrating Zoho Recruit with Scout

Please note that these steps must be carried out by a Zoho Recruit Admin, and applies to all users in the organization.

Log in to Scout:
- Open your browser and go to Scout Login.
- Enter your Scout credentials to log in.
Access Integrations Page:
- Once logged in, navigate to the Settings section from the main dashboard.
- Click on Integrations.
Add Zoho Recruit Integration:
- Scroll down to find Zoho Recruit in the list of available integrations.
- Click on the Connect button next to Zoho Recruit.
Enter Zoho Recruit Credentials:
- A popup will appear asking for your Zoho Recruit username and password.
- Enter your Zoho Recruit username and password into the provided fields.
- Click Connect to complete the integration.
One-Time Organization-Level Connection:
- Note that this connection is a one-time setup at the organization level, meaning all users in your organization will be able to leverage the integration without needing to connect individually.

UNDERSTAND Sync Settings & Configurations

Syncing with Zoho Recruit is fully configurable. Scout allows you to customize how data flows at the organization or user level:

Push New Candidates – Automatically create new candidate profiles in Zoho Recruit when saved in Scout.
Update Existing Candidates – Keep profiles up-to-date by auto-refreshing candidate data.
Push Prospects – Sync candidate profiles that are still in the prospect/leads stage.
Import ATS Jobs – Pull open Zoho Recruit jobs into Scout to match against candidate profiles.

[!NOTE] Granular Filters: You can restrict candidate syncing by job family, industry, or geographic location. Before writing back to Zoho Recruit, Scout checks the live record to avoid overwriting manual changes.

VIEW Data Flow & Frequency

Zoho Recruit integration uses structured polling and a safe initial import to prevent duplicates:

Data Flow	Description
Scout → Zoho Recruit	• Pushes new/updated candidates (only after the initial full import completes). • Shortlisting a candidate pushes the job association and status. • Candidate notes flow automatically.
Zoho Recruit → Scout	• One-time full candidate import upon first connection. • Periodic polling updates candidates and notes. • Job openings are pulled on demand.

Sync Frequency & Settings

Real-Time Statuses: Candidate status changes are synced instantly via real-time webhooks.
Polling Cycles: Candidate profiles are polled frequently; notes are updated once daily.
Connection Keep-Alive: The webhook connection is checked and renewed every 30 minutes to prevent timeouts.

Pro Tip To avoid creating duplicate records, Scout pauses outbound candidate sync to Zoho Recruit until the initial full candidate import is completely finished.
