Jobs

Quick path

Create a job in Scout from a pasted description or an uploaded file, review the details, and decide whether to publish a public job posting.

  1. Open Jobs

    Where: SidebarJobs

  2. Start a new job

    Where: SidebarJobsNew Job

  3. Describe the role

  4. Check the extracted criteria

  5. Choose how to treat the description

  6. Generate the job details

  7. Review job details

  8. Create the job

  9. Follow up

Create a job in Scout, optionally publish it as a public job posting, and track the candidates attached to it.

Before you start

  • Jobs appears in the sidebar only when Scout Jobs is available for your organization. Available on request. Ask your Scout admin or Scout Support.
  • The Create Job with Public Job Posting button is available only when public job posting is enabled for your organization. Otherwise it is greyed out and you can still use Create Job without Public Job Posting.
  • You need a job description, or at least a short description of the role. A PDF or DOCX file also works.

Steps

OPEN the Jobs page

  1. Click Sidebar > Jobs. The Jobs page (/jobs) lists your jobs in a table.
  2. Use the search box (Search jobs…) and the Search in menu (All fields, Job title, Project name, Creator) to find a job. The Job, Company and Updated column headers also offer filters, and Reset clears them.
  3. Switch on Show archived to include archived jobs.

Each row shows the job name, the job title and company, the creator, Collaborators, Active Candidates and the Updated date. The small dot next to the name shows the public posting status: Job posting active, Job posting expired or Job posting inactive. Hover over it to see the expiry date.

Row actions at the right:

  • View job posting - opens the public posting.
  • Share on LinkedIn - opens LinkedIn’s share page for the posting.
  • Archive job - hides the job from the active list. You can bring it back with Show archived.

CREATE a job

  1. Click New Job on the Jobs page. You can also click the + shortcut next to Jobs in the sidebar. Both open the job wizard at /job/new.
  2. Step 1 - Job Description. The page is titled Create a job posting. Do one of the following:
    • Paste a job description, or describe the role in your own words, in the text box.
    • Click the paperclip (Attach PDF or DOCX) or drag a file into the box.
  3. Press the up-arrow button (or Ctrl/Cmd + Enter) to submit. Scout analyses your input and shows the criteria it extracted (job title, company, locations, skills, years of experience and similar fields). Correct anything that is wrong. New Query takes you back to start again.
  4. Decide on Rewrite with AI:
    • Off (default) - Scout keeps your job description as written and applies only light formatting.
    • On - AI rewrites the description into a cleaner posting.
  5. Click Generate Job Details.
  6. Step 2 - Review Details. The Review job details form is prefilled. Edit it as needed:
    • Job Title, Company and Location (all required).
    • Job Description, Requirements and Benefits (rich text).
    • Required Skills and Optional Skills (comma-separated).
    • Show recruiter information - when on, your recruiter profile appears on the job posting.

Fields marked “Visible to public while job posting is active” are shown on the public posting. Use Go back to Step 1 if you want to change the description.

  7. Pick how to save:
    • Create Job without Public Job Posting - saves the job for internal sourcing only.
    • Create Job with Public Job Posting - saves the job and publishes it to the public job board.

If you start from a hiring manager or company record, the wizard shows removable Employer and Hiring manager chips. Remove a chip to create the job without that link.

FINISH and share

Step 3 shows Job saved! or Your job is live!. The buttons are:

  • Share on LinkedIn and View Public Job Posting - only when you published the job.
  • Manage access - opens the contributors dialog for the new job.
  • View Job Tracker - opens the job detail page.
  • Create another - starts the wizard again.

WORK with a job

  1. Click a job name on the Jobs page. The job detail page (/job/[jobId]) opens in a new tab with a kanban board of the job’s candidates. Columns and card actions work the same way as in a project. See Projects and Pipeline.
  2. Open the Recommended column for candidates Scout matched to the job. The same board is also available at /job/[jobId]/recommended-candidates. Recommended candidates can only be exported after you move them into the pipeline.
  3. Use the header controls:
    • The posting menu (Public Job Posting Active or Public Job Posting Inactive) - Activate posting or Deactivate posting, View public posting, Share on LinkedIn, Preview, Edit posting details. Only the job creator can edit posting details.
    • Notes - opens the job notes drawer.
    • More actions (three dots) - Export all as CSV, Rename, Manage contributors, and Create AI interview when Scout Select is connected.
    • Add employer and hiring manager (or the pencil icon) - links the client company and hiring manager.
  4. If the job was created from an external link, a small external-link icon with the tooltip Open query URL appears next to the badges. It opens the original source page.

What you should see

  • A new row on the Jobs page with your job name and an Active Candidates count of 0.
  • If you published the job, a green Public Job Posting Active badge on the job page and a working link under View Public Job Posting.
  • If you did not publish it, the badge reads Public Job Posting Inactive. You can publish later with Activate posting.

Common problems

  • Jobs is missing from the sidebar. Scout Jobs is not available for your organization. Ask your Scout admin or Scout Support.
  • Create Job with Public Job Posting is greyed out. Public job posting is not enabled for your organization. In the job menu the tooltip reads “Public job posting is not enabled for your organization”.
  • Job preview is taking longer than expected. Generating details can take up to two minutes. Click Generate Job Details again.
  • Share on LinkedIn is greyed out on the completion page. Scout did not return a LinkedIn share link. Open the job posting menu later and try Share on LinkedIn again.
  • Edit posting details or Rename is greyed out. Only the job creator can use them.

Pro Tip

Leave Rewrite with AI off when your client has approved the exact wording of the description. Turn it on when the source text is rough notes.
